Xero

You own Your Data

Xero is an online accounting system which stores financial information about a company or individual (Organisation) as provided or entered by that company or individual. Xero will store information that is entered by You, or automatically imported on Your instruction. The Data entered, or imported on instruction, by You remains Your property and Xero will not use nor make available for use any of this information without Your permission.

You control who has access to Your Data

The Data entered, or imported on instruction, by You is stored securely in a database and is only accessible to any person You have authorized to use the Service.

It is Your responsibility to keep Your password safe.

Xero, Xero’s staff and Xero’s partners do not have access to Your password and are therefore unable to access Your Organisation’s account or Data without receiving an invitation to do so from You.

Xero monitors system usage

The Data entered, or imported on instruction, by You is stored securely in a database and is only accessible to any person You have authorized to use the Service. It is Your responsibility to keep Your password safe. Xero, Xero’s staff and Xero’s partners do not have access to Your password and are therefore unable to access Your Organisation’s account or Data without receiving an invitation to do so from You.

Xero will never access the details of any financial transaction entered and stored in the Service. Xero will never access system usage history for a specific identifiable user, except where granted permission by that person to assist with resolution of a system issue or error.

Xero staff and key commercial partners can access non-identifying and aggregated usage information and transaction volumes in order to better understand how our customers are using the Service so we can improve the system design and where appropriate have the system prompt users with suggestions on ways to improve their own use of the system. All aggregated usage information is stored in a secure Xero data warehouse facility.

Your Data is sent securely across the internet

Xero’s servers have SSL Certificates issued by leading certificate authorities Entrust & GTE Cybertrust, so all Data transferred between users and the Service is encrypted. However, the Internet is not in itself a secure environment. Users should only enter, or instruct the importation of, Data to the database within a secure environment. This means that Your browser must support the encryption security used in connection with the Service.

Xero stores your Data in the location Xero considers will give You the most efficient access from wherever in the world You may be. Access and storage controls via the Service are however administered by Xero in New Zealand as the custodian of that Data (Xero’s address and contact details are here). Where You access or input Data from somewhere other than the country where the Data is stored or to be stored, You consent to that Data being transferred from one country to the other (including via any intermediate country) as a function of transmission across the internet.

Xero does not store Your credit card details

If you choose to pay for the Service by credit card, your credit card details are not stored by the Service and cannot be accessed by Xero staff.

Your credit card details are encrypted and securely stored by Direct Payments Solutions Ltd to enable Xero to automatically bill your credit card on a recurring basis.

Xero will give you access to Your Data at any time

Provided You have met Your obligations under the Service Terms of Use, on request Xero will provide You with a full export of the Data in a common file format determined by Xero.

Access to the Data may be permanently deleted by Xero 40 days after You stop paying for the Service or at Your request.

Your browser stores no information that will identify You or your Organisation

The Service utilises “cookies” and other technical measures that enable us to monitor traffic patterns and to serve you more efficiently if you revisit the site. A cookie does not identify You personally or contain any other information about You or Your Organisation, but it does identify Your computer. You can set your browser to notify you when you receive a cookie and this will provide you with an opportunity to either accept or reject it in each instance.

Xero will not sell or otherwise provide Your personal information to a third party, or make any other use of personal information about You for any purpose which is not incidental to the normal use of the Service.

You can opt-out of any email communications

Xero sends billing information, product information, Service updates and Service notifications to You via email.

Where appropriate email communication will contain clear and obvious instructions describing how You can opt to be removed from the mailing list. Xero will remove You upon Your request.

You are responsible for checking the Privacy Policy of any third-party applications the Service links to

The Service may contain links enabling the electronic transfer of data with third-party applications. Xero takes no responsibility for the privacy practices or content of these applications.

Information Collection and Use

ShareFile is the sole owner of information collected on this site. We will not sell, share, or rent this information to others in ways different from what is disclosed in this statement. ShareFile collects information from our users at several different points on our website.

In order to use ShareFile, companies must complete a registration process either on our web site or via telephone or email. During registration, you must provide contact information (such as name and email address) for at least one person at your company. We use this information to contact you about the services on our site in which you have expressed interest. Often, credit card information is also required during registration. If you do not want to provide your credit card information, ShareFile allows you to sign up for a free trial by calling us at 1-800-441-3453 or sending an email request to support@sharefile.com. ShareFile also has an invoice billing option for companies that are not able to provide credit card information.

ShareFile reserves the right to contact users who sign up for a free trial, or begin the signup process for a free trial, to assist with the registration process and/or gain feedback about the system. If you wish to unsubscribe from receiving promotional emails during the free trial period, please use the unsubscribe link in the email itself or email us at support@sharefile.com.

Once a company creates an account with ShareFile, that company can optionally create accounts for employees and clients. In order to create an account for employees, the email address of the employee as well as the first and last name of the employee must be provided. You may optionally provide the employee’s company name and/or time zone. We may add the email address of employees to our company email newsletter. When adding clients to the system, companies must at minimum provide an email address for the client, which is used as a login to securely access data on ShareFile. The client may also be required to enter their first name and last name and can optionally provide their company name and time zone information. We will never add the email addresses of client users to our email newsletter.

Emails from the ShareFile Support Team may be sent in the case of important notifications. These emails will be sent only to registered employees (not clients).

Clear Gifs (Web Beacons/Web Bugs

We employ a software technology called clear gifs (a.k.a. Web Beacons/Web Bugs), that help us better manage content on our site by informing us what content is effective. For example, ShareFile uses a third-party (Cybersource) to process credit card transactions. This company is forbidden from using your personal information for any other purpose than billing your account. Additionally, ShareFile uses third-party software for web analytics to help understand the usage patterns on our web site. No personally identifiable information is included in ShareFile’s web analytics.

Our third-party contracts prohibit these vendors from using any of your personal information for their own purposes, and they are required to maintain the confidentiality of the information we provide to them. Testimonials

We post testimonials on our web site which may contain personally identifiable information such as a customer’s name and company name. We obtain a customer’s permission before posting testimonials to our web site, and customers may request that their testimonial be removed from our web site by contacting support@sharefile.com or calling 1-800-441-3453. Requests for removal from our web site will be fulfilled within 7 business days.

Links

Some of our sites provide links to third-party websites, such as those of our business partners and online advertisers. While on these sites, ShareFile or its partners may collect information about you. Because ShareFile does not control the information policies or practices of these third parties, you should review their privacy policies to learn more about how they collect and use personally identifiable information.

Security

We take every precaution to protect the confidentiality and security of your personal information by using industry-recognized security safeguards such as firewalls, coupled with carefully developed security procedures to protect your information from loss, misuse or unauthorized alteration.
